Introduction of the Events Module
The Event module allows you to add Events to your web site, create and manage Event Categories, and to set Events to display as Menu Items or within Calendars on your site.

To manage Events, click the Events link in the Available Modules Menu. You should see this screen:

Adding a New Event or Editing Existing Events
Edit - Event will display existing Event details screen. Add Event will display a similar screen with empty fields:

Event Name, Description and Pricing are used to describe the Event on the Website front end, displaying to an individual Event page in conjunction with Venue detail and any content loaded using the 'Edit Content’ button in the screen above.

Name, Description and Venues are used to compose a summary of each Event wherever it appears in a Calendar.

Categories is used to sort Events where Calendars are used on the site - e.g. you have the option (when creating a menu item that uses the Event Module - Calendar option) to display Events belonging to either all or one only selected category / categories.

Once you’ve created an Event, you’ll need to create one or more Venues for the Event.
 
Adding a New Venue or Editing Existing Venues
Clicking the 'Venues' button for an existing Event (with existing Venues) will load a screen similar to this:

'Add Venue' will display the following screen:

Complete Venue details as follows:

  • Venue Name - e.g. Hotel Grand Chancellor, plus Street Address
  • Venue Description and Code are optional. The Code field provides for functionality when later integrating Event Registrations with back-office systems (such as ACT!)
  • Location - enter City or Locality
  • Start and End Dates - if a one day event - set Start and End Dates to the same day.
  • Registration Email - this is the address that the online registration form will be sent to.
  • Click CONTINUE to finish

Adding an Event to the Website
Once an Event (with at least one venue) has been created in Admin, provided its dates are current (i.e. not in the past), it will automatically display to the full calendar. If it has been assigned to an active category, it will also display in any calendar for that category.

You can also set an item to display a single event. Events added in this way will continue to display to the site AFTER the event date has passed (Even though they will automatically drop off the calendar).

To add an event directly into your site menu/s create the item, and set as a module - choose event from the dropdown list and click 'define module’:

The following screen will pop up:

When you click 'Continue', you will be presented with a choice of events from a dropdown list similar to this:

The pop up screen will close. On the Define Item screen set item status to published and click 'Continue’ to save your new item. The menu item will now link directly to the Event information page, complete with registration links.
